Best Airbnb automation software: the 5 operators run past 5 listings .

  • Compared on automation surface. PMS feature checklists are a different page.
  • Separates the message-trigger layer from the AI reply layer. They're different.
  • Pick the layer by portfolio size. Hire the VA who runs the exceptions.

[ WHAT 'AUTOMATION' ACTUALLY MEANS ] The three jobs underneath the word

Three layers stack here. Most operators treat them as one tool, and pick wrong.

Past 5 listings, automation splits into three jobs, and one tool rarely does all three well. The first job is the predictable lifecycle: the 70% of guest messages that are check-in codes, wifi, checkout reminders, and review nudges. Every PMS on this page handles that natively, with trigger-based workflows that fire on booking events. That's table stakes.

The second job is the messages that need judgment: the 25% that ask about parking geometry, early check-in, broken air conditioning at 11 PM. This is where the AI reply layer matters. Hospitable's house-manual-grounded AI is the best in the category right now, Hostaway and Guesty are catching up, and iGMS hasn't really tried. The third job is the physical-world automation: smart locks generating time-bound check-in codes, Turno dispatching cleaners the second a booking confirms, Stripe holding the deposit auth. Every operator we place a VA with runs at least two layers. Most run all three.

So "automation software" is shorthand for a stack rather than a product. Below: which tool covers which layer, by portfolio size, from the team placing trained VAs into operator stacks running every one of these every week. We don't sell any of them.

[ TOOL BY TOOL ] The operator-honest verdict on each

One layer is right for you. Match it to your portfolio.

[ 01 ]

Hospitable

1–10 units · solo operators and small portfolios

The one that solves the inbox before you've hired the VA.

Hospitable's AI reply layer is the best in the category. It's grounded in your listing details and tone, so it answers wifi, parking, and check-in questions in your voice without making things up. Native message triggers cover the predictable lifecycle out of the box. The trade is depth: fewer knobs on workflow branching, narrower on smart-lock vendors, lighter on owner-side reporting. Right call when you're scaling from 3 to 12 listings and want the inbox to feel solved before you hire the person who'll take it over.

STRENGTHS
  • Best AI reply layer for operator tone and accuracy
  • Defaults work out of the box. Same-day setup
  • Strongest native message triggers for small portfolios
LIMITS
  • Smart locks via partners only
  • Workflow branching is light compared to Hostaway / Guesty
  • Note: Smartbnb is Hospitable's old name. Same product
[ 02 ]

Hostaway

5–50 units · the operator-default sweet spot

Where most operators land when one tool isn't enough anymore.

Hostaway's Automations module is the workhorse of the category at this portfolio size. Trigger-based workflows with real conditions (channel-aware, guest-segment-aware, delay-aware), native smart-lock integrations with most major vendors (Schlage, Yale, RemoteLock, August, igloohome), and Turno + Breezeway native for cleaning dispatch. The AI reply layer is newer than Hospitable's but improving every release. VAs onboard in roughly 2 days. If you're picking blind past 10 listings, this is the layer to test first.

STRENGTHS
  • Widest native smart-lock support of the five: Schlage, Yale, RemoteLock, August, igloohome, plus Nuki, SALTO, TTLock, Kwikset and more in marketplace
  • Custom workflow conditions: channel, segment, delay, message
  • Operator-default at the 5–50-unit sweet spot
LIMITS
  • AI reply layer trails Hospitable on accuracy and tone
  • Past 100 units, Guesty's branching and role-gating pull ahead
  • Pricing is quote-only. No public per-listing rates on hostaway.com
[ 03 ]

Guesty

20–500+ units · enterprise portfolios with a staff org chart

When the workflow itself has approval steps.

Guesty's Workflows engine offers broader controls than the lighter PMSs: multi-step, scheduled, API-aware (verify the current capability matrix at guesty.com if you're depending on specific branching). Guesty AI handles the message-drafting layer across plans. Native smart-lock control via Guesty LocksManager and a RemoteLock partnership; the publicly listed brand list is narrower than Hostaway's, but the access-control layer is deep once configured. The friction is quote-based pricing past Lite and a 3–5 day setup ramp on the automations themselves. Under 20 units, you're paying for surface area you won't touch. Past 50, the branching and the account-manager support pay for themselves on the bad weekends.

STRENGTHS
  • Broader workflow controls than the lighter PMSs
  • Native LocksManager + RemoteLock partnership for centralized access control
  • Dedicated account manager once you scale
LIMITS
  • Quote-based above 3 listings. Lite tier is $9/listing/mo public, Pro and Enterprise require a sales call
  • Setup ramp is longer: ~3–5 days for the automation layer alone
[ 04 ]

iGMS

1–20 units · automation-focused light-weight PMS

The lighter alternative when Hospitable feels too opinionated.

iGMS is a thinner PMS than Hostaway with a sharper automation focus than its surface area suggests. Core lifecycle triggers, native Turno, and a Zapier-friendly API. Smart-lock layer is currently limited: Jervis is live and RemoteLock is listed as coming soon. If smart locks are central to your stack, that's the gap to test on a trial. The AI reply layer is the lightest of the five, closer to template suggestions than full draft generation. Right call when you want automation without the full Hostaway / Guesty footprint, and you're not relying on AI to answer the 25% of messages your VA would otherwise handle.

STRENGTHS
  • Lighter footprint than Hostaway. Faster to learn
  • Native Turno integration; smart-lock layer is limited (Jervis live, RemoteLock listed as coming soon)
  • Public pricing, no sales-call gate
LIMITS
  • AI reply layer is light. Template suggestions, drafts not generated
  • Workflow depth caps out earlier than Hostaway

Turno

All portfolio sizes · cleaning automation only

The cleaning-side automation everyone in this category integrates with.

Turno is the cleaning dispatch layer that bolts onto every PMS on this page. Not a PMS itself. Auto-schedules your cleaner the moment a booking lands, runs checklists with photo QA, handles supplies tracking, and surfaces the no-show before it ruins a turnover. Most operators we work with run Turno on top of Hospitable, Hostaway, Guesty, or iGMS. Almost nobody runs it instead of one. Listed here for completeness: it's the one piece of automation almost every operator past 5 listings ends up running, regardless of which PMS they picked.

STRENGTHS
  • Cleaning dispatch and checklist workflows
  • Integrates natively with all 4 PMSs above
  • Photo-QA flow catches the bad turnover before the guest does
LIMITS
  • Cleaning-only. Doesn't substitute for any PMS-side automation
  • The 1 PM no-show still needs a human working the backup list
[ BY PORTFOLIO SIZE ] The honest take, in three lines

Three sizes. Three stacks. Pick the one that fits where you'll be in 12 months.

  • 1–10 UNITS Hospitable on its own is enough. The native triggers plus the AI reply layer cover the inbox before you've hired the VA. Add Turno when you're past 5 listings.
  • 5–30 UNITS Hostaway Automations + Turno is the working setup. Or Hospitable + Turno if your AI reply quality matters more to you than workflow branching depth. Either way, the VA runs the exceptions.
  • 20–100+ UNITS Guesty Workflows + Turno + native smart locks, with Zapier or n8n sitting alongside for the custom glue your PMS doesn't cover. Branching, role-gating, and account-manager support stop being optional at this size.
[ NEXT ] You picked the layer

Pick the automation. Hire the VA who runs the 25%.

Automation handles the easy stuff: check-in codes, wifi, checkout, the booking-event triggers. Your VA handles the messages that need a person: the angry cleaner text, the early check-in ask, the three-star-review threat. You only see what only you can solve. Every airbnb virtual assistant we place is trained on Hospitable, Hostaway, Guesty, iGMS, and Turno. Embedded in your stack in 3–5 days, running the exceptions while the automation runs the rest.

[ FAQ ] Questions operators ask before they pick the stack

Things people ask before they wire up the automations.

[ 01 ] Is Airbnb automation software the same as a PMS? +
No, and the difference matters once you're past 5 listings. A PMS is the platform: one calendar, one inbox, one place to push pricing and pull statements (Hostaway, Guesty, Hospitable, iGMS, OwnerRez). Automation is the layer on top: trigger-based message workflows, the AI reply layer that drafts answers to non-routine questions, the smart-lock integration that generates time-bound check-in codes, the Turno hook that dispatches your cleaner the second a booking confirms. Every PMS on this page bundles some automation natively, but the automation surface is what you should actually compare. The PMS shell underneath matters less.
[ 02 ] Is Hospitable AI actually better than Hostaway AI or Guesty AI? +
Right now, yes, for accuracy and tone. Hospitable's AI is grounded in your house manual, so it answers parking, wifi, and check-in questions in your voice without making things up about the property. Hostaway AI and Guesty AI are newer and improving fast, but as of May 2026 they sit closer to canned-draft suggestions than full grounded replies. iGMS is the lightest: template suggestions only. The gap closes every quarter. We tell operators on the call which one's holding up best for the kind of message volume their portfolio actually sees.
[ 03 ] Do I need Zapier or n8n on top of my PMS? +
Below 20 listings, almost never. Hostaway Automations and Guesty Workflows cover the trigger-based moves most operators need without external glue. Past 30–50 listings, Zapier or n8n starts to earn its keep for the custom flows your PMS doesn't have: pushing booking data into a CRM, posting to Slack when a high-value guest books, syncing a finance ledger that isn't an OwnerRez or Stessa export. Your VA can build and maintain the recipes; we've placed VAs who run a portfolio's full Zapier or n8n setup as part of the role.
[ 04 ] Which smart locks work with which automation tool? +
Hostaway and Guesty have the widest native support: Schlage, Yale, RemoteLock, August, igloohome, plus Salto on Guesty for boutique builds. iGMS covers Schlage, RemoteLock, August natively. Hospitable handles smart locks through partners (RemoteLock and August primarily). All of them generate time-bound check-in codes tied to your booking dates, so the guest gets the code at 4 PM on check-in day and it expires at 11 AM on checkout. If you're already locked into a specific lock vendor, that's a real input into the PMS decision. We walk through it on the call.
[ 05 ] If the automation is this good, do I still need a VA? +
Yes, for the messages the automation can't answer. Automation handles the predictable: check-in codes, wifi, checkout reminders, review nudges, calendar syncs. It doesn't handle the angry cleaner text at 1 PM, the early check-in ask from a guest who's already at the door, the three-star-review threat over a broken air conditioner, or the owner who wants to know why their statement looks different this month. Past 10 listings, the working setup is the automation layer plus a trained VA who runs the exceptions. We place VAs trained on all 5 tools on this page, embedded in 3–5 days.
