One platform deposit can include several reservations, guest charges, host fees, refunds, co-host payouts, and timing adjustments. Recording only the amount that reached the bank loses the explanation your accountant needs.
The assistant's job is to preserve that trail: collect the source records, match the payout to the bank, attach the supporting documents, and isolate differences. The accountant decides how the activity belongs in the books and closes the period. This is one defined Airbnb virtual assistant role. The accountant remains separately engaged and responsible for the close.

A reconciliation is complete when the records agree or the remaining difference is documented for the person allowed to decide it. Guessing a category makes the spreadsheet look finished while moving the error into the close.

Read-only access is sufficient for some source collection. Posting, attaching documents, and reconciling inside the ledger require a separate user with the permissions approved by the accountant. Bank access should be limited to the information the role needs. Payment, transfer, tax-filing, and account-owner controls remain outside the assistant's routine work unless the owner deliberately establishes a different reviewed process.
